Subject: First Day Briefing and Action Points
Minister,
Please find below a brief summary of your first day in post, a report on actions taken, and the schedule for tomorrow:
1. Office Layout:
Your request for a wipe-clean board has been fulfilled. The board (1.8m x 1.2m) with associated markers and eraser was installed at 13:45 today in the designated area to the right of your desk.
Other basic office furnishings (desk, visitor sofa group, filing cabinets, telephone, map) are in place as per standard configuration. Should you have other preferences regarding layout, decor, or furniture, please do not hesitate to inform me. I can liaise with the Estates Division for adjustments within 24-48 hours.
The adjoining annex is prepared with a basic configuration (coat stand, tea/coffee facilities, basic refreshments). The key is in the top-left drawer of your desk.
2. Private Office Support:
The Cabinet Office shortlist for the post of Principal Private Secretary (PPS) has been placed in your In-tray. Should you wish to arrange interviews or require further background on the candidates, please advise.
Until a formal PPS is appointed, I will act in that capacity to ensure the smooth running of your daily business. Other seconded staff in the Private Office (one EO Assistant Private Secretary, one AA Clerical Officer) are in post and can handle routine document flow, appointments, and communications.
3. Schedule:
A preliminary draft schedule for this week is in your In-tray for your review. Key items include:
Tomorrow (22 Jan): AM: Review of preliminary departmental remit documents (prepared). PM (14:30): Brief meeting with seconded Private Office staff; preliminary policy direction discussion with the Acting Permanent Secretary (time TBC).
Wednesday (23 Jan): PM (15:00): First Inter-Departmental Information Sharing Liaison Meeting. A list of attending departments and a draft agenda will be submitted for your review by midday tomorrow.
Should you require additional meetings, appointments, or travel, please advise and I will make the necessary arrangements immediately.
4. Communications & Filing:
The black rotary telephone on your desk connects directly to the Private Office (extension 101). The external line is active.
The In/Out Tray system is operational. Welcome correspondence and the draft schedule have been placed in your In-tray.
A preliminary internal document reference system has been established, which I can brief you on at your convenience.
5. Other Matters:
The building's heating system is being calibrated. The east wing of the third floor (including your office) may be slow to warm. A supplementary fan heater has been placed in the annex for your use. My apologies for the inconvenience.
A summary of key security and communications protocols is prepared and available for you.
6. Action Points for Me:
To ensure the agenda and background papers for Wednesday's inter-departmental meeting are submitted for your review by 12:00 tomorrow (22 Jan).
To follow up on the PPS appointment process.
To monitor the heating situation and ensure a suitable office temperature tomorrow.
